Full Job Description – Sales & Marketing Coordinator

The Sales and Marketing Coordinator plays a vital role in supporting the sales team by providing essential resources and assistance. This includes preparing pitch materials, conducting Salesforce data entry, and gathering background information on clients and events they are hosting or attending. The Sales and Marketing Admin serves as a key point of communication between the sales team and internal departments such as design, estimating, and operations, ensuring that client deadlines are met and projects progress smoothly. The Sales Coordinator reports to the Sales Operations Manager and works with the marketing department as it relates to supporting the sales team.

SALES & MARKETING COORDINATOR RESPONSIBILITIES

  • Coordinate sales team by managing schedules, filing important documents and communicating relevant information
  • Creation and distribution of presentations and supporting documents to help the sales team generate business leads
  • Ensure the adequacy of sales-related equipment or materials
  • Help organize and maintain digital assets
  • Work with and hire photographers and videographers as needed for events
  • Help organize and maintain the company library of digital platforms and passwords
  • Respond to complaints from customers and give after-sales support when requested
  • Monitor the team’s progress, identify shortcomings, and propose improvements
  • Assist in the preparation and organizing of promotional material or events
  • Attend essential sales training meetings and develop an understanding of all the company's services and products
  • Establish active communication and engagement with client partnership team members to ensure that projects and workflows are processed promptly
  • Handle basic Salesforce administrative functions including reports and dashboards, workflows, and other routine tasks.
  • Completes ongoing extracurricular research, training, and other activities to keep apprised of the latest industry trends and best practices.
  • Communicate effectively with sales managers and their clients to maintain existing relationships while helping to create and build new client relationships.
  • Provide sales and administrative support through various duties such as making calls to vendors, managing calendars, scheduling site visits, etc.
  • Support the sales team in attaining sales targets
  • Prepare monthly, weekly, or daily sales analysis as instructed
  • Input new sales inquiries into Salesforce and update program files in the database as needed
  • Coordinate and respond to all requests for internal meetings
  • Assist in the implementation of sales strategy as prepared by the Client Partnership team
  • Create proposals and contracts that accurately reflect the services requested. This includes: word processing, creative writing, costing, and research
  • Inspire your team and influence them to perform at their best each and every day; this will ultimately determine the success of the Client Partnerships (Sales) organization.
  • Maintain a positive mindset, encourage teamwork, and act as an impeccable brand ambassador for ASTOUND
  • Willingness to travel within North America and overseas
  • Other Duties as assigned including support of the marketing team for sales-related matters

DESIRED EDUCATION, EXPERIENCE, & QUALIFICATIONS

  • Proven experience in a similar role, preferably in sales and marketing support or administrative functions.
  • Excellent persuasive communication skills
  • Detail-oriented with a high level of accuracy in data entry and documentation.
  • Strong organizational skills with the ability to prioritize tasks and meet deadlines.
  • Analytical mindset with the ability to gather and interpret data to drive decision-making.
  • Ability to work independently and as part of a team, with a proactive and self-motivated approach.
  • Should exert sound judgment, and discretion to preserve confidentiality of sensitive information.
  • Good liaison with all other department members
  • Flexible to work during non-business hours
  • Able to operate in different work conditions such as on-site, off-site
  • Can work well in a fast-paced environment
  • General troubleshooting capabilities are a must. We use many systems on a daily basis
  • Excellent written and verbal communication skills.
